Job Description : Support Officer - Operations

Summary:

The Support Officer – Operations is responsible for assisting in the smooth and efficient functioning of daily operational activities. This role involves providing administrative support, coordinating tasks, and ensuring compliance with company policies and procedures. The officer will collaborate with various departments to enhance operational efficiency, manage documentation, and address any operational issues that arise. Key responsibilities include handling inquiries, maintaining records, and supporting project implementation. Strong organizational skills, attention to detail, and the ability to work in a fast-paced environment are essential for this role.

Responsibilities:

 

 Guest Reception and Communication

  • Greet and welcome guests as they arrive at the office.
  • Direct visitors to the appropriate person and office.
  • Answer, screen, and forward incoming phone calls.
  • Provide basic and accurate information in-person and via phone/email.

 

  Office Management

  • Ensure the reception area is tidy and presentable with all necessary stationery and
  • materials (e.g., pens, forms, brochures).
  • Receive, sort, and distribute daily mail and deliveries.
  • Maintain office security by following safety procedures and controlling access via
    the reception desk.
  • Order and maintain stock of uniforms and other merchandise.
  • Order front office and pantry supplies and maintain stock.

 

  Administrative Support

  • Arrange travel and accommodations.
  • Handle vouchers for participants, including ordering, handing over, and maintaining
    a  register.
  • Keep updated records of office expenses and costs.
  • Perform clerical receptionist duties such as filing, photocopying, transcribing,
    and faxing.
  • Check the PO Box once a week.
  • Maintain company credit card usage and file receipts for accounts.
  • Maintain petty cash.

 

  Vehicle and Property Management

  • Book repairs, services, and professional cleaning for vehicles as required.
  • Support the Hedland office with any administrative assistance.
  • Coordinate house inspections and maintenance for Good Turn Houses.

  Compliance and Project Support

  • Ensure compliance with company standards and regulations.
  • Assist in the implementation of projects if allocated.
  • Assist the Senior Manager – Operations as required.
  • Support the office and staff in areas of WHS and OHS.

 

Requirements and Skills:

 

Experience and Skills

  • Proven work experience as a receptionist, front office representative, or similar role.
  • Proficiency in Microsoft Office Suite.
  • Hands-on experience with office equipment (e.g., fax machines and printers).
  • Professional attitude.
  • Solid written and verbal communication skills.
  • Ability to be resourceful and proactive when issues arise.
  • Excellent organizational skills.
  • Multitasking and time-management skills with the ability to prioritize tasks.
  • Customer service skills.
  • Valid Drivers License and Car

Education

  • High school degree.
  • Additional certification in office management is a plus.

Desirable Experience

  • Prior experience in the disability sector.
  • Experience working with First Nations People.
